How to Manage Matching Rules

For a Salesforce admin and user, here are the steps outlined in the document for setting up and utilizing the Matching Rules functionality:

Steps:

  1. Sync Active Duplicate Rules:

    • Click on the Sync button to sync all the active duplicate rules from the Salesforce Org to the Matching Rules screen.

  2. Use Rules for Merging:

    • In the Matching Rules section, two boxes are provided:

      • Available Matching Rules: Lists all available active standard duplicate rules with auto merge disabled.

      • Selected Merge Rules: Lists selected rules for merging with auto merge enabled.

    • Move rules from Available Matching Rules to Selected Merge Rules to enable auto merge, and vice versa.

  3. Create Merge Rule:

    • If there are no Merge Rules available in the organization:

      • Click on the "Create Merge Rule" button.

      • This redirects the user to the org's Duplicate Rules page, where they can create duplicate rules as required.

  4. Navigate to Duplicate Rules:

    • Access Duplicate Rules:

      • From Setup, use the Quick Find box to find Duplicate Rules.

    • Edit or Create Duplicate Rules:

      • To edit an existing rule, click on the rule name and then click Edit.

      • To create a new rule, click New Rule, and select the object you want the rule to apply to.

      • Enter rule details including name, description, and record-level security settings.

    • Define Actions:

      • Select the actions to occur when a user starts creating a duplicate record.

      • Default actions include alerting users and reporting on duplicates created.

    • Define Matching Rules:

      • In the Matching Rules section, select the object to compare records on.

      • Select the matching rule that determines how records are identified as duplicates.

      • Matching rules define fields and matching criteria (e.g., "Email Field, Exact Match" or "Account Name, Fuzzy Match").

  5. Field Mapping (if needed):

    • Select field mapping for each matching rule if required.

    • Decide how to compare fields on different objects or with custom fields.

  6. Set Conditions (if needed):

    • Optionally set conditions for when the duplicate rule should run.

    • Conditions can be based on user profile, role, or record attributes like country, state, or province.

  7. Save and Activate:

    • Save and activate the rule.

    • All associated matching rules must be active for activation to succeed.

  8. Optional: Adjust Rule Order:

    • If multiple active duplicate rules exist for a particular object, consider adjusting the order in which the rules are processed.

Note:
